Top tips for carrying out the perfect property inspection


Property inspections are a massively important part of any tenancy in the UK’s private rented sector. Giving letting agents and landlords the chance to see how the sitting tenant is treating the property, and rectify any issues they may have before they get worse, inspections are vital in making sure rented homes are habitable and comfortable for current and future tenants.

However, getting an inspection right every time is not an easy ask. Here, we take a look at just a few tips for making sure your process is as strong as it possibly can be, to make the inspection itself successful and useful, and to ensure that the tenant is happy with how everything has gone.

Make it convenient

Nothing makes a property inspection more difficult than if the tenant feels inconvenienced or put out by your presence, so make sure you always make the appointment as convenient as possible for those living there. Send an email to explain what you want to do and why, and then ask them to suggest the best time for it to be carried out. Explaining things and making sure the tenant feels like they are in control is the best way to make sure the inspection runs smoothly.

Make sure the tenant can be there

It’s not always possible, but if the tenant can be there for the property inspection, it can be a good idea to make sure they are. This way, you can explain what you’re looking for and why, as well as talking them through the inspection and asking any questions about damage or work that needs to be carried out, meaning there’s less back and forth afterwards, and the process is as straightforward as it can be.

Take notes and photos

If you find damage, mess or things that haven’t been properly reported by the tenant, it’s always advisable to make sure you photograph this and take notes. It gives you evidence in the case that tenants dispute your findings at a later date. It’s also a good idea to have your tenant read over your notes at the end of the inspection and sign it if they agree, just to back you up that little bit more.

Feed back findings

After the inspection, it’s important that you don’t just disappear in the eyes of the tenant. Most people feel a little bit like they’re under investigation when you carry out an inspection, and it can be worrying if afterwards you just get no feedback from the letting agent. To put the tenant’s mind at rest, send them an email in the days following the inspection that details your findings, as well as any requirements for improvement that you would like them to make moving forward.
