The following is a brief outline of our services and information on how to let a property:
Step 1 – Finding a suitable property
The first step is to find a suitable property; this can be done by accessing the Property Search pages, registering and arranging viewings. Alternatively you can phone or call into our office in Jesmond for full in-depth advice.
Step 2 – Viewing a property
Once a suitable property or properties have been identified an accompanied viewing can be arranged.
Step 3 – Reserving the property
An administration fee of half the agreed months rent plus VAT is payable at the point the Landlord has accepted your offer to rent the property. Our marketing of the property will then stop.
We accept payments by Debit card and bank transfer only.
The tenancy is subject to all monies confirmed, being paid by the due date, all Tenants and (Guarantors if applicable) passing a reference check and signing the tenancy agreement.
Please note that rental property is no smoking and no pets allowed unless the Landlord formally agrees.
Please note that in order to pass the income criteria of the references, your monthly income needs to exceed 2.5 times the monthly rent and your employment period must be permanent or contracted beyond the end date of the tenancy. If you are using a guarantor, the guarantor’s monthly income needs to exceed 3 times the monthly rent or have savings of 3 times the annual rent.
Please note that as the Landlords appointed agents, we are not responsible for the condition of the property. Any requests you have connected with the property, will be the responsibility of the Landlord. Our administration fee is charged for negotiating the terms of a tenancy with a Landlord who has a property which meets your requirements, then setting up the tenancy for that property.
Refund & Cancellation policy
The administration fee is non-refundable in the following circumstances: a) you decide not to go ahead with the tenancy b) you fail your reference check c) you fail to pay the balance of our fees, agreed rent and damage deposit prior to the 14 day deadline or 3 days prior to the move-in date, whichever is sooner. Except in the event that: (i) the property becomes uninhabitable prior to the start of the tenancy through fire, flooding or other force of major event, (ii) the tenancy is unable to proceed following notification by the relevant property owner, such owner being aware of his obligations to let his property once you have paid a deposit in respect of a booking, or (iii) we are able to re-let the property over the applicable dates.
Any Rent and damage deposit paid will be refunded by us if the tenancy agreement is not signed.
Rent and damage deposit subsequently paid to the Landlord after the tenancy agreement has been signed will be refunded if due e.g. overpayment, will be the responsibility of the Landlord unless we are managing the property.
If applicable Damage deposit paid to the DPS will be refunded by the DPS
Late or Missing Refunds.
If you haven’t received a refund, please check your bank statement again. Then contact your bank. There is often some processing time before a refund is posted. If you’ve done all of this and you still have not received your refund, please contact us via email.
Step 4 – Signing Contract and Balance Payment
Once references have been passed, we will guide you through completing all of the relevant documents. Payment of first months rent and damage deposit are due at this time plus balance of admin fee if applicable.
Quick Reference Guide
On behalf of the landlord, an independent referencing agency undertakes reference verification and credit checks on each applicant. We forward to the referencing agency completed referencing documentation which will require details of your employer, bank account, any former landlords, and a character reference.
A Damage Deposit, normally equal one month’s rent + £50 up to £750.00pcm and + £100.00 when over £750.00pcm, is payable upon receipt of satisfactory references. The damage deposit is either paid directly to the Landlord, or to Bowson Estates if we are managing the property and will be held within a Government Approved Tenancy Deposit Scheme until the tenancy ends.
In some cases professional applicants may require a suitable guarantor willing to accept and underwrite any rent and tenancy liabilities before the application can continue. Guarantors will need to meet the same reference and credit check requirements as the applicant.
Proof of identification will also be required. When you produce the required documents to our office, photocopies will be taken, and the originals returned to you before you leave. Do not send originals, they cannot be processed in your absence.
Suitable identification documents are: A full and current Passport or a current valid Photo Driving License.
Payable in advance by Standing Order, unless alternative arrangements are agreed in advance
Council Tax, Water Rates, Gas, Electricity, Telephone, Audio Visual network services and TV License costs remain the responsibility of, and must be paid by the tenant, directly to the relevant supplier unless alternative arrangements are agreed in advance.
